Project Overview

Our long-term healthcare client, with whom we’ve had a successful partnership for over four years, approached us with a new challenge. After we helped them build a patient portal on Kentico CMS, they wanted to upgrade their system with an AI-powered assistant.
Their goal was simple — automate routine tasks like scheduling appointments, managing patient billing, updating medical records, and sending reminders. They needed something smart and reliable, and that’s exactly what we delivered.

Challenges

• Manual appointment scheduling was time-consuming and prone to errors.
• Doctors had to update Electronic Health Records (EHRs) manually after every patient interaction.
• Patients often missed appointments due to the lack of timely reminders.

Our Solution

We developed a custom AI Agent using ChatGPT-4 and Microsoft BioGPT that works within the existing Kentico-based portal. The AI agent could:

• Understand Patient Requests: Patients can chat with the AI agent to book, reschedule, or cancel appointments.

• Auto Scheduling: The system checks doctor availability and books appointments automatically.

• Instant Notifications: Once booked, both the patient and doctor receive an SMS with appointment details.

• EHR Summarization: The AI listens to doctor’s notes and updates patient records automatically in the database.

• Reminder Alerts: Sends automatic reminders to patients and the doctor both about the appointment.
• Database Sync: Once a patient's treatment is complete, the system automatically updates the final status in the backend—no manual update needed.

Results
